Effective Contact Record Coding

Accurate contact records are key to successful business development. This article explores how coding contacts, setting hiring preferences, and using tags in Firefish can streamline workflows, enhance engagement, and boost results.

The Importance of Coding Contact Records

Accurate and detailed coding of contact records is foundational for effective business development. By ensuring that each contact's personal information is complete—such as name, employer, phone number, and email address—you enable seamless communication through emails, calls, or SMS. Don’t forget to add marketing subscriptions to your contacts so they don’t miss out.

Additionally, primary and secondary statuses alongside tags provide an organised way to classify and manage contacts. For instance, hiring managers can be tagged based on their current engagement with your business (e.g., hot, cold, or warm prospects). These classifications are pivotal in tailoring your outreach strategies.

Pro Tip: Superusers can customise these statuses in the Dropdown Settings to align with specific business needs.

Setting Hiring Preferences

The Hiring Preferences tab is a game-changer for aligning your database with client needs. By coding a contact’s preferences—such as disciplines, locations, and specialties—you create a precise profile of what they’re looking for in candidates. This data feeds directly into the Matches tab, where you can view and rank candidates who match these preferences.

This feature ensures you’re always ready to propose the right candidates, whether for active jobs or speculative opportunities. A well-coded Hiring Preferences tab also improves your ability to respond quickly, demonstrating professionalism and expertise.

Pro Tip: Superusers can customise preferences in the Dropdown Settings. Preferences are used across the Firefish platform including candidates, contacts, companies, jobs and adverts. You’ll also be able to use these in the Reports Dashboard.

Tags: The Power of Simple Keywords

Tags are an underutilised but powerful tool in Firefish. They allow you to assign descriptive keywords to contacts, enabling fast and efficient searches. For instance, you might use tags to indicate whether a contact is a "decision-maker," "potential client," or has a "hot" status.

When combined with Hiring Preferences, tags become even more powerful. They allow you to segment your database effectively, ensuring every outreach effort targets the most relevant audience.

Pro-Tip: Utilise tags thoughtfully; each new tag will be added to a data list. Maintaining conciseness will enhance your ability to compile accurate and targeted hit lists.
