How to use track the effectiveness of your email sends from Firefish
Contents
The new Email Tracking feature in Firefish lets you measure how recipients interact with your emails – Confirming the email has been sent from Firefish, whether they've opened your message and/or clicked a link.
With three types of tracking now available, Sent Tracking, Pixel Tracking and Link Tracking, you can see which emails are performing and when your recipients are engaging without making any changes to how you send emails from Firefish.
How Email Tracking Works
Whilst enabled, Email Tracking is automatically applied to any email that is sent from Firefish, with no additional action required by the user.
Once the email is sent, any actions that are detected by Firefish are recorded without notifying the recipient, and that information is then displayed on Email items on the Recent Activity feed for the associated candidate or contact using easy-to-spot Fish icons.
Sent Tracking (via Firefish)
Whilst enabled, Firefish will actively monitor the mail queue and report back once it has been successfully passed to your connected email provider.
Open Tracking (via Pixel)
When enabled, every email sent through Firefish includes a tiny invisible image (a pixel). When the recipient’s email client loads the image, Firefish logs the email as opened.
What’s tracked:
- Last opened time
- Total opens
(duplicates filtered out to reduce noise)
Click Tracking (via Link Wrapping)
Firefish now also tracks when recipients click links in your emails. Any link (text or image) in an email is auto-converted to a tracked version—no need for you to do anything!
What’s tracked:
- Total clicks
- Last clickthrough
Tracked links always send recipients to the correct destination, with no UI changes for you during composition.
How to Use Email Tracking
1. Check Your Settings
Head to:
Settings → Integrations → System Email
Email Tracking works with any email service and is enabled by default. If Email Tracking isn’t for you, toggle the setting off to disable both pixel and link tracking features.
2. Send an Email
Send any email using Firefish to a candidate or contact in the system. This includes CV Sends, Bulk Email and Workflow Templates. If tracking is enabled, the pixel will be added after you click send. In addition, we will detect any links you have added into the email body and apply Link Wrapping to them, including any found in your email signature.
If tracking is disabled, no pixel or link wrapping will be added.
3. View Tracking Results
Once emails are sent, tracking results appear automatically on the Recent Activity feed of Candidates and Contacts.
Watch for:
- Fish icon: shows status of each email:

FAQ
Q: Can recipients see that they’re being tracked?
A: No. Everything runs invisibly behind the scenes with no changes to the email layout or visible links.
Q: Does it work for all email services?
A: Yes. It works with Gmail, Outlook and other email services since the tracking is handled by Firefish directly.
Q: Can I track link clicks on free-text emails too?
A: Absolutely. Link tracking applies across bulk sends, templates, and free-text emails.
Q: What happens if a recipient's email blocks images or links?
A: For compliance reasons, Firefish will respect any privacy protections that recipients may have active on their mailboxes – as such, Firefish won’t falsely log opens/clicks or show errors.
