Manage Employer Portal Permissions and Hiring Manager Access

Configure Employer Portal Access, Visibility, and Permissions

Use Employer Portal Settings to control what Hiring Managers can access and view within the Employer Portal. Configure permissions for candidates, adverts, searches, and jobs to tailor the portal experience for your clients and manage how they interact with recruitment activity.



Locating Employer Portal Settings

  1. Go to the Settings cog
  2. Select the Employer Portal tab. 

Users

The Users tab provides an overview of all active, on notice, and expired Employer Portal licences for Hiring Managers and Account Managers.

From this page, you can:

  • View the status of Employer Portal licences
  • Access contact records directly
  • Update or manage Employer Portal access
  • Review licence activity and expiry dates

This section is useful for managing portal access and identifying users who may no longer require access.

If a Hiring Manager cannot log in to the Employer Portal, first check whether their licence has expired or has an end date applied.


Candidates

The Candidates tab controls which areas of a candidate record are visible to Hiring Managers and Account Managers within the Employer Portal.

You can enable or disable visibility for:

  • Candidate Summary
  • Candidate Preferences
  • Additional candidate fields within each section

Use the On/Off switches beside each option to control visibility.

 

Expanding a section allows you to configure more detailed field-level visibility.

Best Practice: Only enable the information your clients need to view. Limiting visibility can help protect sensitive candidate data and support GDPR compliance.

If Hiring Managers report missing candidate information, review the field visibility settings within this section.

Search

The Search tab controls whether Hiring Managers can search candidates within the Employer Portal.

You can:

  • Enable or disable the Candidates menu entirely
  • Control access to Search
  • Control access to Talent Pools

These settings determine how Hiring Managers interact with candidate data and whether they can browse your wider database.

If the main Search toggle is disabled, Hiring Managers will not see the Candidates option within the portal navigation.

Talent Pools are useful when you want clients to access pre-approved groups of candidates without giving broader database visibility.


Adverts

The Adverts tab controls how Hiring Managers interact with adverts inside the Employer Portal.

The main Adverts toggle allows you to enable or disable the Adverts page entirely.

Additional settings include:

  • Enable Advert Authorisation - When enabled, adverts created by Hiring Managers must be approved before they are published to your jobs page. This helps recruiters maintain control over advert quality, branding, and content.

 

  • Enable Shortlist - This setting allows Hiring Managers to move applicants from the Advert Applications area into the Considering list on a job. 

  • Enable Employers Application Notifications - When enabled, Hiring Managers receive notification emails when candidates apply for one of their adverts. 
  • Attach CV to Notifications - When enabled, candidate CVs are included in application notification emails.

Best Practice: Consider enabling Advert Authorisation if multiple Hiring Managers have access to create adverts. This helps maintain consistency across your jobs page.

Troubleshooting: If a Hiring Manager cannot see adverts in the portal, confirm the Adverts toggle is enabled and that they are linked to the relevant company or advert.


Jobs

The Jobs tab controls which workflow actions Hiring Managers can complete within the Employer Portal.

The main Job Settings toggle enables or disables the Jobs page entirely.

You can also control access to the following workflow stages:

  • Enable Send CVs - enabling this setting will give Hiring Managers/Account Managers the ability to have the Send CVs column on within the jobs workflow.

  • Enable Interviews - enabling this setting will give Hiring Managers/Account Managers the ability to have the Interviews column on within the jobs workflow. Your managers will then be able to arrange interviews with your candidates.

  • Enable Offers - enabling this setting will give Hiring Managers/Account Managers the ability to have the Offer column on within the jobs workflow. Your managers will then be able to offer the role to candidates.

  • Enable Compliance on Job Workflow - enabling this setting will give Hiring Managers/Account Managers the ability to view the Compliance Details within the jobs workflow. Your managers will only have read only access to the compliance side panel.
