How to Use the Indeed Job Board Integration

Everything Recruiters Need to Know About Syncing Jobs and Applications with Indeed via Firefish

The Firefish Integration with Indeed is currently in Beta - this means that whilst we are actively updating your adverts on Indeed, there may be some delay before the feed is visible. In the meantime, Indeed are busy reviewing and matching your existing adverts to your Employer Account on their site.

Indeed is the world’s most-visited job board, connecting millions of candidates with new opportunities every day. Firefish’s integration with Indeed allows recruitment agencies to automate job advert publishing, streamline application collection, and maintain visibility on their hiring pipeline — all from within their Firefish CRM. By syncing live adverts and applicant statuses with Indeed, recruiters reduce manual effort, boost advert reach, and give candidates a seamless Direct Apply experience. Here’s what recruiters can do with the Indeed Integration:

  • Automatically publish and expire adverts

  • Accept candidate applications via Direct Apply

  • Sync application status updates to Indeed

This fully automates the job sync workflow, making it easier for recruiters to manage high-volume job posting and maintain visibility on the world’s largest job board.

Managing Indeed Integration Settings

You can control how your job adverts are synced to Indeed from the Indeed Integration settings page, found in the Settings -> Integrations -> Automation.

By default, the Indeed integration is enabled for all eligible jobs, helping you reach more candidates instantly. However, this is an opt-out feature — if you'd prefer not to post jobs to Indeed, you can simply click Disable within the settings panel.

In the settings side panel, you'll see two tabs: Credentials and Settings.

Indeed Credentials and Account Matching

When you enable the Indeed integration, Firefish sends your company name and source name (your Firefish Unique Client Identifier) to Indeed, which they use to match your CRM to the correct employer account on their platform. This ensures your adverts are published under your correct brand identity.

You don’t need to log in to Indeed or enter any credentials. However, if Indeed doesn’t already recognise your company, they may delay or reject your job adverts until verification is completed. 

For help with getting your accounts linked, please contact your Indeed Account manager, quoting the Source Name and Company Name found in your Integration Settings.

Indeed Advert Posting Settings

The Settings tab within the Indeed Integration panel lets you customise how your job adverts are treated when sent to Indeed. Here's what each option means:

  • Contact Details – Defaults to "Company". This determines what contact information appears on your advert: either your company’s default contact info, or the individual recruiter's direct email/phone number.

  • Default Country – Defaults to "Choose per Advert". When set, recruiters must select the country/currency combo during advert posting. For bulk sync (when enabling the integration), Firefish defaults to your CRM's country settings or falls back to United Kingdom/GBP if unsupported.

  • Use Opening Sentence as Subtitle – Enabled by default. The first sentence of your advert is used to populate the subtitle on Indeed. This is capped at 255 characters or the first full stop, exclamation, question mark, or line break.

  • Include Street Address – Disabled by default. If switched on, the full address from the linked Company Record will be shared with Indeed.

These settings give you control over branding, location, and formatting when publishing jobs through the integration.

Indeed Direct Apply Settings

Direct Apply allows Indeed to send applications directly to your Applications List in Firefish, and includes any answers to Pre-screen Questions that were set up on that advert.

Feature Toggle - Defaults to "Enabled". Disable this feature if you do not want Indeed to send applicants directly to your Database. Candidates will instead be redirected to your company website when they apply.

Share Applicant Status - Defaults to "Enabled". While enabled, Firefish will automatically send an update to Indeed whenever one of their candidates is moved through the Jobs Workflow

Posting, Updating & Closing Adverts on Indeed

When the Indeed integration is enabled, Firefish manages your adverts on Indeed automatically—no manual posting is required.

  • Posting/Reposting: Any new or reposted advert created in Firefish that meets the minimum required fields and is set to the right workflow status is sent to Indeed almost immediately. There is no “post to Indeed” button—eligible jobs are always included.

  • Updating: If you edit the details of a job advert (such as the job title, description, salary, or contact info), Firefish automatically sends these updates to Indeed. This means your adverts always reflect your latest information.

  • Closing: When an advert is closed manually or automatically in Firefish, the integration will automatically remove the advert from Indeed. This ensures only your live vacancies appear to candidates.

There’s nothing extra you need to do—Firefish keeps your Indeed listings current and accurate based on the workflows you already use.

Enterprise Users: Posting Adverts to Multiple Websites

If you are an enterprise user and have a Primary Site and multiple Secondary Sites, we always send the advert to Indeed based on where it is posted.

This means that if you post an advert directly from your secondary site, it will be sent to Indeed with that site's information only.

If you are using your Primary Site to post adverts and include a secondary site during the advert creation process, the advert is posted to both websites and as such is also synced with Indeed as two adverts - one containing details of your Primary Site, and the other containing details of the Secondary Site.

The content of each advert will be the same, however just like in Firefish, the other information we send is based on the site that advert has been posted to - such Company Name, Website Information and Direct Apply Details.

When posting to multiple websites, we also offer separate confirmation for each site that has been successful, and if there are any issues with posting we detail these in the modal as well.

Selecting the Indeed Country

When posting a new job advert, you may need to select the country in which the job is being advertised. By default, Firefish will prompt you to choose the appropriate country and currency on the advert posting screen. This ensures your job is shown to candidates in the correct location on Indeed and complies with Indeed’s regional rules.

If your agency mainly recruits in one country, you can set a default country in the Indeed settings to speed up advert creation. For bulk posting (like when the integration is first enabled), Firefish will use your main system country, or default to United Kingdom/GBP if your selected country isn’t supported by Indeed.

 

Pre-screen Questions

If you’ve set up pre-screen questions on your job advert in Firefish, these will be automatically made available to Indeed with your job post. When candidates apply via Direct Apply on Indeed, they’ll see and answer your custom questions as part of their application. Their answers appear directly within the candidate’s record in Firefish, making it easy to screen and shortlist the right applicants without extra admin.

How and When does my Advert appear on Indeed?

Once the feed has been approved by Indeed, all jobs sent will be eligible for Organic Visibility by default, subject to their content quality guidelines and visibility settings.

This means all adverts sent to Indeed will be set to status "Visible" once they've cleared any quality checks by Indeed, and Indeed reserves the right to downrank, filter out or outright reject an advert if they consider them to be a duplicate, low quality, missing details or do not meet trust & safety standards.

Indeed may apply stricter quality and policy filters to Agency jobs than to Direct Employers. This is to ensure job seekers are protected from duplicates, scams, or low-value listings. Organic visibility is not guaranteed by Indeed, even with the correct visibility value.

There is no requirement to sponsor jobs for them to appear in organic search results. However, sponsored jobs will get higher placement and more visibility compared to organic-only jobs. Sponsored Jobs and Campaigns are managed entirely on the Indeed platform, so once the advert has been synced, head over to your employer account on Indeed to set it up.

How do I know if my advert fails to post?

We check each advert prior to it being posted for any technical errors. If an Advert fails to sync to Indeed, you will be alerted via the confirmation modal. This will also contain any reasons for this failing.

To get the advert onto Indeed, simply correct the error and repost the advert - it will be automatically be picked up and sent to Indeed.

If your advert posted successfully, but it still hasn't appeared on Indeed, check your employer account and ensure it has been matched correctly by Indeed.

Channel & Source Tracking

Any candidates received through the Indeed Direct Apply are automatically tracked as having come from Indeed. Additionally, we can differentiate applications from both Organic and Sponsored Campaigns, which means that you will be able to get a full understanding of your ROI for any adverts you have sponsored on Indeed.

  • Q: Can I turn off the Indeed integration?
    A: Yes, Super Users on the Primary Site can disable the feature from the Integrations settings side panel.

  • Q: What happens to existing adverts if I disable the integration?
    A: All live adverts are expired on Indeed via a bulk automation, which is triggered at midnight on the following day. The Firefish adverts remain unaffected.

  • Q: What if I re-enable the integration after disabling it?
    A: Firefish will automatically bulk-post all live adverts to Indeed, which is triggered at midnight on the following day. The Firefish adverts remain unaffected.

  • Q: How are Pre-screen questions handled for Indeed?
    A: Firefish generates a dedicated endpoint per advert that Indeed can query in real-time. Users configure questions directly on the advert.

  • Q: Will Direct Apply update existing records?
    A: Yes, but only blank fields are populated on existing candidate profiles. CVs are parsed and applicants are matched according to existing Firefish logic.

  • Q: What if my advert doesn't have a valid country for Indeed?
    A: Firefish checks System Configuration for a valid country; if none is set or unsupported, the country defaults to UK.

  • Q: Can I choose which adverts I post and close on Indeed?
    A: No. Indeed insist on parity between the client’s website and their Indeed portal, allowing for a discrepancy of up to 15 minutes. As such, all integration features are tied into the core Firefish actions of Posting, Updating and Closing an advert (there is no job board entry on the “Reach” tab).

  • Q: How long does it take for an advert to be posted or expired on Indeed after it is sent?
    A: 
    Firefish sends advert information to Indeed immediately upon the advert being posted, updated or closed, and Indeed will typically update their feed every 30 minutes - 2 hours. If your adverts aren't updating, check your Indeed Account to ensure that your details have been correctly matched.
  • Q: How do I manage sponsored Indeed Campaigns?
    A:
    Firefish sends all adverts through to Indeed as a standard advert. Once the advert has been matched and added to your Employer Account, you can configure your sponsored and other Indeed-specific settings per advert.
