Candidate compliance details are customisable fields for recording industry-specific candidate information. They help ensure compliance with company and industry regulations.
Overview
Candidate details (also known as compliance details) are bespoke fields that allow recruiters to store important compliance information for each candidate. These details appear under the Details tab of a candidate's record.
✏️ Note: Incomplete Compliance details remain visible, making it easier to manage compliance requirements.
Key features of compliance details include:
- Document upload and preview functionality!
- Visibility in the Candidate Portal, allowing candidates to update their details.
- Configuration at different recruitment stages (Registration, Permanent Job Offer, Contract Job Offer)
- Mandatory field settings to ensure users complete compliance details.
⚠️ Incomplete mandatory compliance details will prevent you from navigating away from the Details tab.
Why Use Candidate Details?
Candidate details offer a flexible way to store non-standard information in Firefish. Each recruitment agency can customize these fields to match their unique needs or industry requirements.
Examples of Candidate Details:
- CSCS Card Details
- Driver’s Licence Information
- Visa and Work Permit Details
- Proof of Address
- PVG/DBS/Criminal Record Checks
Each candidate detail can a combination of these four formats:
- Dropdown selection
- Free text field
- Date fields (with optional follow-up reminders)
- Document uploads
Super Users can configure these fields and set follow-up dates via the Compliance Details Settings page.
Expired Candidate Details
Firefish automatically tracks compliance details with expiration dates in the To Do List under the Compliance section. This feature ensures that compliance information remains up to date and prevents expired details from affecting placements.
Managing Expired Details:
- Search and filter expired details by owner, category, rating, or last updated date.
- View details by clicking the notes icon.
- Perform actions using the ellipsis menu:
- Complete – Removes the expired entry from the To Do List.
- Request Details – Opens a side panel to email the candidate and schedule a follow-up.
- Follow-Up Call – Opens a panel to record a follow-up action.
🚨Important Note:
If a user adds a date to a compliance detail, the system automatically treats it as an expiry date. Be mindful when recording completion dates, as these may appear under expired details unintentionally.
