Manage Job Actions from the Job Record

Learn how to use the Tasks menu in a Firefish job record to create adverts, add notes, duplicate jobs, close vacancies and change workflows

 

The More Actions menu on the Job Record gives you quick access to a range of useful tasks, helping you manage jobs more efficiently without navigating away from the record. This article explains how to use the available actions, including creating adverts, adding notes, creating similar jobs, closing jobs, and changing the job workflow.

Clicking the "Tasks" tab on the job record brings up a number of additional actions you can carry out:

Create Advert 

To create an advert from a Job, click Tasks, then select Create Advert:

The relevant job details will automatically be copied over from the job to the advert. Scroll down to the bottom of the page, then click Post to publish your advert.


Add a Note

To add a note to the job record, click Tasks then select Notes:

Select your note type, enter your note, and if required set a follow-up day and time before clicking save.

The note will populate in the Recent Activity section at the bottom of the Summary tab.

Create Similar

If you are recruiting for a role similar to one you've advertised before, the Create Similar function allows you to duplicate the existing job details, reducing manual data entry and speeding up the process.

Under Tasks, select Create Similar:

This will create a copy of the job and open the Job Summary page, where you can review and update any details before saving, such as start date and salary.


Close Job

To close a job, select Tasks, then choose Close Job:

After selecting Close Job, a confirmation pop-up will appear. Confirming this action will close the vacancy, and any candidates currently in the job workflow will no longer be considered.

After confirming the action, select the appropriate reason for closing the job from the list provided.

The reasons are customisable by a Super User and can be done so through the Drop Downs page.

Changing the Job Workflow

You can change the workflow of a job at any time before an offer or placement has been made. Once an offer or placement has been made this button will be disabled:

To change the workflow. select the Edit button next Job Workflow.

Selecting Edit will display a confirmation pop-up. Select Confirm to proceed with changing the job workflow.

Once confirmed the job workflow will change and the following fields will be cleared:

  • Max Salary 
  • Min Salary 
  • Custom Fields 
  • Pay Details 

Note: Custom Fields shared by both workflows won’t be cleared.  

When changing the job workflow an action will be created on the Company, Contact and Job record:

Adverts that are created for a  job will not have their workflow changed when changing the workflow of the job.
