Overview

The Candidate Registration feature allows you to build customised registration workflows for candidates applying via your website or through specific job adverts. You can tailor the questions and information collected during registration, helping streamline the recruitment process and improve candidate matching for future opportunities.

This functionality is available in Professional and Enterprise versions under
Website > Candidate Registration.

Key features include:

  • Separate workflows for Web Registrations and Advert Applications
  • Optional fields like Preferred Discipline, Location, Desired Salary, and Job Alerts
  • CAPTCHA protection to prevent spam registrations (enabled by Super Users, Marketing Users, or Sysadmins)

⚠️ Note: Users will not be able to edit a newly created candidate record until the CV is fully parsed (usually within 10 minutes).

 


Advert Application

When a candidate applies for a specific job, they complete an Advert Application. This form is typically shorter, as you will have provided role-specific details like location, discipline, and salary within the job advert.

You may still want to include:

  • A cover note field.
  • A candidate agreement

As with website registrations, you can enable CAPTCHA on Advert Applications to block spam.

⚠️ Note: Only Super Users, Marketing Users, or Sysadmins (Sysadmin only for Basic users) can enable CAPTCHA.

 


Adding, Deleting and Sorting Questions

You have full control over the questions shown during the registration process. Here is how to manage them:

  • Delete: Click the red X next to the question.
  • Edit: Use the edit button to modify an existing question.
  • Add: Click Add Question to create a new one.
  • Sort: Use the Sort button to reorder your questions.

To add a new question:

  1. A pop-up will appear prompting you to choose a Data Field—this links to a section of the candidate profile (e.g., “Profile”).
  2. Select the relevant field (e.g., skills, experience).
  3. Enter the question text and any supporting information.
  4. Choose whether the question is mandatory.
  5. Click Save.

You can continue building your form by adding blank rows for spacing and using the Preview feature to check the layout before going live.

 


Diversity Recording

If you need to track diversity data during registration, contact Support to activate this feature. Once enabled, it becomes available under the Registration Plugin.
