Build a Contract Workflow Your Team Can Actually Use

Practical ways to structure fields, standardise rates, add the right checks and keep your contract process joined up after placement.

A contract desk runs smoothly when the system reflects how the team actually works. When it doesn't, recruiters create their own routes: overtime rates live in spreadsheets, approvals happen in Teams messages, and important information is recorded differently from one job to the next. The result is more chasing, less reliable reporting and too much of the process living in people’s heads.

In this Fine Tune in 15 webinar, we show you how to shape Firefish around your contract desk. You will see how to capture the right job information, configure standard and additional rates, introduce authorisation at the right stages, and support the teams involved once a candidate has been placed. The aim is simple: make the right way of working the easiest way of working.

Manage and Configure Your Contract Workflow Settings

Start with the foundations. Review which job summary fields are enabled, decide what genuinely needs to be mandatory, and set sensible defaults for units, weekends, pay type and sales calculations. This is also where you can create clearly named additional rates for overtime, weekend work or night shifts, so every recruiter uses the same structure and terminology.

Offers and Offer Authorisation

Build checks into the workflow before a candidate is placed. Offer authorisation can notify the responsible Super Users or Compliance Users, while placement restrictions and required pay details help prevent missing information from surfacing at the final stage. The process becomes visible and repeatable instead of depending on somebody remembering to ask for approval.

Managing Candidates After Their Placement

Keep the process joined up after the candidate starts. Use placement notifications to keep HR and Accounts informed, make Time Capture and timesheet information available where relevant, and manage changes to active contracts accurately. Structured extension and termination processes help protect reporting, revenue information and the candidate record throughout the assignment.
