Talent Pools are saved lists which automate the inclusion of new candidates and removal of unsuitable candidates based on search criteria you set.
These allow you to create up to 10 lists of candidates that can be utilised to make your recruitment processes much more efficient by providing a snapshot of the best candidates matching your search criteria at any time and allowing you to move them into job workflows and complete marketing!

What are Talent Pools for?
Talent Pools are available as a dynamic search, where the results will update and automatically, adding new candidates who fit the search criteria and removing candidates who no longer match. Meaning your search information always be up to date.
This allows you to create automated lists of relevant candidates based on factors such as availability, job preferences, location, engagement and more!
How to create a Talent Pool
You can create a Talent Pool from the Talent Pools module itself, or from your general searches.
To create one from the Talent Pool module, click through People > Talent Pools in your Menu:
From here, select Add at the right hand side:
From here, you can then give you Talent Pool a name, select sharing options and add in your search criteria:
You Talent Pools will utilise the searching options for the Advanced Search on Firefish, meaning you can filter your Talent Pools based on:
- Keywords - Boolean Search CV's and profiles
- Preferences - Utilising your Disciplines, Locations and Specialisations
- Salary & Availability - including perm and temp rates, notice period.
- Candidate Profile - pulling information such as current employers, skills and postcode radius searches
- Details - Bespoke fields set up on the candidate record for Pro and Enterprise users
- Marketing - Filter in candidates based on their marketing preferences, owners and portal status
Once you are happy with the search criteria, hit create in the bottom right and your Talent Pool is ser up!
Managing Talent Pools
Where to find your Talent Pools?
You can access all of your Talent Pools by clicking People > Talent Pools in the menu bar and you can access any Talent Pools shared with you by hitting Shared Talent Pools at the left hand side.
What Talent Pools should I have?
Talent Pools will be individual to each recruiter or team so there is no one answer to this, however its best practise to set up different Talent Pools based on the most common searches you do for candidates.
Each Firefish user can create up to 10 talent pools each meaning you can create a variety of Talent Pools to use at any point.
If you recruiter in a generalist market across different sectors, you could set up a variety of Talent Pools based on a particular role type and seniority such as:
- Software Support - Junior
- Software Support - Senior
- Account Management - Mid Market
- Account Management - Key Accounts
- Finance Manager
- CFO
However, if you work in a more specific market, you could set up talent pools based on Locations:
- Software Developers- Scotland
- Software Developers - London
- Software Developers - Liverpool
These also don't need to be preference or location based, you could create talent pools based on candidates who are immediately available, have had a CV added in the last 3 months, or are noted to have a particular certification or skill:
- Hot Candidates
- New Candidates - 2024
- Spanish Speakers
- Certified Forklift Operators
To summarise, there is no magic set of Talent Pools that are best to set up - these would be what works best for you! Just think about what searches and types of jobs you work the most and this should help pull together your criteria.
If you do work in a team, make sure all the team members set up different ones and share the Talent Pools and you'll be able to have a large variety of options to check out and utilise.
How to Delete your Talent Pools
To delete your Talent Pools, simply hit the red X next to the Talent Pool at the right:
Please note - users can only delete their own talent pools, its not possible to delete these for other users.
Using Your Talent Pools
Talent Pool Lists & Management
On your Talent Pools, you'll have 4 available lists of candidates to access - based on how they meet the search criteria. These are:
- New
- Active
- No Longer Match
- All
These dictate when the candidate has dropped in or out of the talent pool and their status within in.
When you create a new Talent Pool, this will add all candidates to the Active list. This would be a list of all the candidates you are utilising in the Talent Pool.
As a Talent Pool is a dynamic list, the New list will show you the list of candidates who have been added to the system or had their profile updated to now match the search criteria on the Talent Pool and have thus dropped into it.
Similarly, the No Longer Match list will show you a list of candidates who were previously in the Talent Pool, but who's profile has been updated to no longer match the search criteria and thus have been removed.
The All list will show all candidates that are/have ever been in the talent pool, essentially combining the three lists above.
For managing the Talent Pool itself, you have the option to Add, Hide, or Remove candidates. If you don't think the candidate is quite ready to go on your list you can always hide them for 6 months by clicking the cog and selecting the Hide for 6M option in the dropdown. The candidate will then disappear from this list for 6 months and pop back up for you to assess again later.
You can also manually add candidates to the Talent Pool - underneath the lists, you'll have the option to type a candidates name and manually add them in.
Talent Pools Actions
From your Talent Pool, you can take several actions with the candidates included.
On any of the lists, you'll be able to:
- Consider a singular or multiple candidates to a job workflow
- Send a bulk email to candidates
- Send a bulk SMS to candidates
These actions allow you to add people to your considering list to review alongside other candidates, or market potential opportunities to pre made groups of candidates in the system. This can massively improve efficiency as you have built these marketing lists based on the criteria you know is going to be used for searching again and again, making it really easy to send out comms as soon as you have a new job on!
You can also use your Talent Pool to send a Mailshot as part of your advert record, meaning you have a way to easily market adverts to these candidates - this will also allow you to see how engaged they are through the advert Prospects list.
Amending Talent Pools
To amend a Talent Pool, click on the pencil icon when in the list view, or the Amend button on the bottom right if you are viewing the candidate list.
A window will pop up displaying your Talent Pool search criteria - change the necessary fields and press Save.
After you save, Firefish will automatically re-assess all the candidates in the pool and highlight those that are either New or No Longer Match your criteria.
