Managing Candidate Activities & Actions

This article will walk you through to how best manage your candidate record and how to utilise the available actions.

There are a tonne of actions that you're able to take within the candidate header to log activities or indicate the quality of a candidate. This article will walk you through each of the options available to you.

Recording Notes

You can select the Note button in the candidate banner to leave a variety of note types. 

If you choose the Quick Note option this note will pin to the top of the candidate's recent activity. 

You can also leave just a regular note, meeting note or email received note. These will log in the recent activity but they will not pin to the top. 

If you enter a Follow-up Date while recording an action note, this will appear in your corresponding Email To Do section on the Dashboard.

Once you have saved your Note, you can edit it by clicking on the blue Pencil icon on the right-hand side of the Recent Activity stream.

Call & Message 

To log a call or SMS message on Firefish simply click on the Call & SMS button in the header then select the number you want to text and select SMS or Call depending on the action you wish to take. If you have the call and/or SMS add-ons in Firefish you can take the action directly from the system, otherwise you can log actions you have taken outside of the system. 

If you are logging an action taken outwith the system, select the note option, otherwise you can select either call or SMS if you have the relevant add-on. 

You'll also be able to add Follow-up dates, adding those items to your To Do section on your Dashboard . 

Sending Emails

To send an email to your candidate from their Firefish record, click the email button in the top banner. 

Candidate_Email

From the candidate record, you will be able to select the following email templates: Get In Touch, General Email, Reference Details, Request Update, Pre-screen, Thank You, Follow Up and Key Information Document. You are able to edit all of these email templates before sending, to customise the content as needed. 

From here you can also add attachments from your device, link the email to an existing job record or set a follow-up date. 

When selecting Pre-screen or the Key Information Document you will see the Candidate Pre-screen document or Key Information document is automatically attached, provided you have this document uploaded in your System Document Library. Clicking the Pre-screen Document or Key Information Document in the email allows you to preview it before sending; you can also download and print a copy from here.

Arranging Meetings

To schedule a meeting, click the meeting button in the top banner on a candidate record.

You will be able to select the Type; Speculative Interview, Registration Interview, General Update and Contract Review as the meeting type. 

You can also select the date and time, confirm the recipient details and add action notes before sending and email confirmation. If you don't want to send the email you can simply skip this.

Star Rating

Our star rating feature allows you to add a star rating of 1 star to 5 stars to a candidates record within the system. You can search by star rating to quickly find candidates you wish to prioritise reaching out to.

To amend a candidate's star rating you can click the stars in the top left of the banner on the candidate's record. This allows you to rate a candidate from 1 to 5 stars.

The stars will be coloured in to show the relevant rating that has been given.

A candidate's star rating will not only display on the candidates record - it will also display in the search results, candidate record preview and on the job workflow.

Amending the star rating on a candidate record will also record an action on their record, so we can see if or when a candidates star rating has been changed.

Hot Candidate

To add a hot status to a candidate, you can click the flame in the top left of the banner on the candidate's record. The grey flame will now turn red, indicating hot status.

A candidate's hot status will not only display on the candidates record - it will also display in the search results, candidate record preview and on the job workflow.

Adding hot status to a candidate record will also record an action on their record, so we can see if candidates have previously been considered hot, who added/removed the status and when.

The amount of time a candidate will be considered as hot can be configured by a super user in settings > People Configuration > General.

Engagement Indicators 

Engagement Indicators are colour-coded categories which give you and your colleagues an instant reflection on a candidate status.

You can customise up to 10 unique categories via Settings > People Configuration > Engagement Indicators, to help you track what's most important to you. You’ll see the coloured bars in the headers of your candidate and contact profiles, and as a column in your search results.
